About Our Client

Our client is in petrochemical raw materials industry based in Europe. The successful candidate will be placed at Sales Office in Istanbul.

Job Description

  • Take care of daily operations for the office related tasks
  • Organize the business travel bookings of all employees
  • Communication with the building management (required forms, reports etc.)
  • Coordinate all kind of maintenance needs in the office
  • Archiving of all documents related to the office services (i.e. maintenance forms, goods receipts etc.)
  • Follow-up of all office needs (food and beverages, stationary, cartridge of all company printers etc.)
  • Follow-up and organize company board documents with the Corporate Secretary of the Company and Company lawyers
  • Follow-up of weekly schedules of all employees and providing the attendance reports to Accounting and Managing Director
  • Support IT for the tests run by HQ (requiring the physical presence in the office), coordinate and support external IT consultant visits
  • Act as the Contract Manager for the procurement process of the company
  • Ensure the compliance with the company procedures by filling the required forms, making the internal checks etc.
  • Manage the relationships with vendors and company units ensuring that all goods and services are delivered and invoiced correctly in line with the contract (approval of the incoming invoices through the e-invoicing system in use etc.)
  • Lead the global and local audits related to QHSE
  • Ensure that the company applications are in line with the local legislation and internal company procedures in terms of QHSE
  • Support to maintain ISO 9001 certification of the company
  • Ensure the company is in compliance with the current security legislation and internal regulations

The Successful Applicant

  • Minimum 3 years experience in a similar position
  • Advanced English
  • Organization, communication, problem-solving, self-starter
